Who we are
Go Play Therapy is a directory operated by The Hicks Group, LLC, a Florida company. This policy explains how we handle information about visitors, therapist account holders, and people who contact us. We are responsible for the personal information we process to operate this directory. Our contact details appear below.
Information you provide
Therapists provide account information, profile text, photos, contact details, practice location, ages served, approaches, concerns, and insurance information. We also collect private license or registration numbers, supervision information where applicable, verification records, suggested qualifications, drafts, terms acceptance, and email preferences.
When you contact support or report an issue, we receive the information you submit, such as your name, email address, message, and the listing involved. Contact messages and reports are stored privately; contact messages are also delivered to our support inbox. Report alerts link our reviewers to the private report.
Public profiles and private records
Approved profile information and headshots are public. Public contact information may differ from your private account email. Search engines can index public listings, and other people may copy or retain public information. We do not publish your private account email, license number, supervision records supplied for review, verification source URL, or support messages as part of your listing.
We obtain verification information from official licensing or registration sources and from information supplied by therapists. A license number may separately be public in an issuing authority’s records. Unpublishing a profile removes it from our public directory but does not delete its account, draft, or all associated records. Search engines and third-party copies may take longer to update and are outside our direct control.
Technical information and location
Our hosting and security systems process information such as IP addresses, request details, browser information, timestamps, and security events. We use limited security records, including hashed IP-based identifiers, to prevent spam and unauthorized access. A hash is a security measure, not a promise that information is anonymous.
We use an on-server MaxMind database to estimate a visitor’s country or area from their IP address and help arrange results. These lookups do not send the visitor’s IP address to MaxMind. Estimates can be inaccurate; you can choose a country and enter a search yourself. We do not request your device’s precise GPS location.
We send therapists’ submitted practice addresses to Geoapify for address recognition and coordinates, including during profile setup. License numbers, private account emails, and support messages are not part of those address queries.
Cookies and optional analytics
Necessary cookies support secure sign-in and remember your privacy choice. Sign-in sessions normally expire after 14 days; our analytics-choice cookie lasts up to 180 days. Browser settings may clear or block cookies, although blocking sign-in cookies prevents account access.
Google Analytics is optional. We load it only after you choose “Allow analytics.” It can receive browsing and device information, page visits, and online identifiers to help us understand site use. We do not load analytics on account, admin, sign-in, contact, or issue-reporting pages, even if you opt in. We remove query strings and fragments from the page and referrer URLs we explicitly send. Advertising storage, advertising personalization, and Google Signals are disabled in our site configuration.
Choose “Privacy choices” in the footer to change your decision. Declining does not affect directory access. A Global Privacy Control signal prevents analytics from loading. We do not otherwise interpret browser Do Not Track settings as a separate instruction; you can use our controls. Changing your choice stops future analytics collection on this browser, but does not automatically erase information already collected. Google also processes information under its own privacy policy.
Why we use information
We use information to authenticate accounts, create and publish listings, review credentials, check addresses, help visitors find therapists, communicate about accounts, respond to messages and reports, prevent misuse, maintain the service, and comply with legal obligations. Optional analytics helps us understand and improve site use.
Where UK or European data protection law applies, our bases include performing our agreement with therapist account holders; legitimate interests in operating a reliable directory, responding to inquiries, and preventing abuse, balanced against people’s rights; compliance with legal obligations; and consent for optional analytics and promotional emails where required. We do not treat acceptance of the Terms as blanket consent to optional marketing or tracking.
Account emails and optional resources
We send necessary operational emails, including sign-in links, review feedback, publication notices, security notices, and material changes affecting accounts. These are separate from optional newsletters. Contact support if you want to close your account.
You can separately choose to receive occasional practice tips and resources from The Hicks Group, LLC. Your choice is recorded for future use. It is optional, unchecked by default, and does not affect your free listing. You can change it in your account’s email preferences or contact support to withdraw it. Any future promotional email will include an unsubscribe method that does not require signing in. Sending us a message or report does not subscribe you.
We never sell your information
We will never sell or rent your personal information or email address. We do not give third parties your email address for their own marketing.
We use service providers to operate the directory: Amazon Web Services for hosting and transactional email, Zoho for support email, Geoapify for address checking, and Google for optional analytics. They receive information needed for those functions. Authorized administrators and reviewers can access the records needed for support and review. We may disclose information when legally required, to respond to valid legal process, protect rights and safety, or investigate misuse. If the business changes ownership, information may transfer with it subject to applicable law and the protections and notices required for that transfer.
Retention, deletion, and security
We keep account and profile records while needed to provide the service. We retain verification, acceptance, support, report, and security records according to their purpose, sensitivity, the time needed to resolve the matter, and applicable legal or dispute-related needs. Different records have different needs; we do not currently apply a single automatic deletion period to all records.
You may request deletion through support. We assess what can be deleted and explain any lawful reason for retaining specific records. Unpublishing alone is not an account-deletion request. Backups and operational copies may persist after information is removed from active use; they are not necessarily erased immediately. Public search-engine copies are managed by those providers.
We use access restrictions, encrypted website connections, and other safeguards appropriate to the service. No online system or ordinary email is completely secure. Do not submit medical records, payment details, or unnecessary sensitive information through our forms.
Children and health information
This directory is intended for adult parents, caregivers, and professionals. Therapist account holders must be at least 18. We do not offer accounts for children or knowingly collect personal information directly from children under 13. If you believe a child has provided information, contact us so we can investigate and address it, including deletion where appropriate.
We are not a treatment provider or a patient-record portal, and our forms are not intended for confidential clinical communications. Please do not include a child’s name, diagnosis, or medical history in support requests or reports. If you voluntarily send sensitive information, we may receive and use it to handle your request, restrict access, and address deletion requests under applicable law. We do not use such messages for advertising.
Calling, emailing, or visiting a therapist through their profile takes place through your phone, email service, or that therapist’s website. We do not host those therapist-client conversations. The therapist and their service providers have their own privacy responsibilities.
International visitors and your rights
Our directory is operated in the United States. Hosting, email, and other providers may process information in the United States or other countries where they operate. Privacy laws and protections can differ between countries. Where applicable law requires safeguards for an international transfer, those requirements continue to apply; use of this site is not a waiver of your rights.
Depending on the law applicable to you, you may have rights to access, correct, obtain a copy of, delete, or restrict use of your information; object to certain processing; withdraw consent; or appeal a decision about a rights request. You may also complain to the relevant privacy regulator, including the UK Information Commissioner, a relevant European supervisory authority, the Office of the Privacy Commissioner of Canada or a provincial authority, or the Office of the Australian Information Commissioner, as applicable.
Send requests to support@goplaytherapy.com. We may ask for information reasonably needed to verify your identity and authority. We respond within the time required by applicable law and explain any applicable exceptions. Withdrawing consent does not affect processing lawfully undertaken beforehand. You will not lose a free listing because you decline optional analytics or newsletters.
Policy updates and contact
We will post the effective date of changes here and provide additional notice of material changes where appropriate or required. If a change requires new consent, we will request it.
